Requesting the certification of a business eSpace

A business eSpace allows access to numerous online services aimed at legal persons. To set up a business eSpace, you do not need any supporting documents concerning your business activities.

However, access to certain services (such as the consultation of certain authentic sources) is subject to the certification of the eSpace, i.e. the public administration or a principal grants you access to a specific service. Some examples of services that require certification are the consultation of tax cards and the services concerning social elections.

Certifications, and therefore accesses, are given per type of service and per business eSpace.

If multiple users work in the same eSpace, all users, whatever their role, can access the same information.

If deemed useful for the organisation of your business activities, you can create several business eSpaces for the same company or business. For example, you can assign each of your sectors of activity to a different eSpace. Thus, once you have received the certification of the eSpace(s) concerned, the users will only have access to the relevant online services concerning them.

Depending on the type of service required, the certification of a business eSpace can be obtained:

  • with an access code (also called 'token') provided by the public administration or the principal; or
  • by completing an online procedure on MyGuichet.lu.

Access codes for holders or agents (representatives)

For certain types of services requiring certification by access code, there are 2 types of access code:

  • the holder access code which is needed for the legal person's own business eSpace; and
  • where applicable, agent access codes, which are to be used for the business eSpace of the legal person's agent.

Within a business eSpace, you can only enter one holder access code for a given service. You can manage your agent's access to a given service from the eSpace in which you have entered the holder access code for that same service.

However, several agent access codes can be entered for the same service in a given business eSpace. This allows a fiduciary, for example, to manage several clients for the same type of service from the same eSpace.

Certification procedure

When you want to access a service that requires your business eSpace to be certified, there are several possible scenarios:

I have received a holder access code. Where can I enter this code?

Before you start entering the code you received, please bear in mind that each holder access code can only be used once. Furthermore, you can enter only one holder access code per service within a given business eSpace.

Each access code has an activation deadline up to which you can enter the code.

These are the steps to follow to enter your holder access code:

  1. Log in to MyGuichet.lu.
  2. Go to the home page of the business eSpace you would like to certify.
  3. Click on 'My eSpace profile' and then on 'Certifications'.
  4. Click on 'Add a certification using an access code'.
  5. This will display a list of all administrations and public bodies that offer certification by access code: find the administration or public body that issued the code and click on 'Manage' to open the data entry page.
  6. Under 'Main mandate', enter the holder access code in the field provided and click on 'Confirm'.

Specific procedures apply to the certification of the business eSpace with the Luxembourg Inland Revenue (ACD). You can find all the necessary information in our explanatory information pages on tax cards.

After having entered a holder access code, you can grant and revoke mandates at any time.

Each holder access code has an expiry date set by the relevant administration or public body.

I have received an agent access code. Where can I enter this code?

Before you start entering the code you received, please bear in mind that each agent access code can only be used once. However, you can enter several agent access codes per service within a business eSpace.

Each access code has an activation deadline up to which you can enter the code.

These are the steps to follow to enter your agent access code:

  1. Log in to MyGuichet.lu.
  2. Go to the home page of the business eSpace you would like to certify.
  3. Click on 'My eSpace profile' and then on 'Certifications'.
  4. Under 'Mandates obtained', click on 'Add access'.
  5. Enter the agent access code in the field provided and click on 'Confirm'.

Specific procedures apply to the certification of the business eSpace with the Luxembourg Inland Revenue (ACD). You can find all the necessary information in our explanatory information pages on tax cards.

You can revoke any mandates obtained at any time.

Each agent access code has an expiry date set by:

  • the competent public administration or body; or
  • the person who issued the mandate.

I do not have an access code. How do I apply for certification?

If you have neither a holder access code nor a agent access code, you can check on Guichet.lu to see if you can find an explanatory information page on the procedure you wish to carry out for your company or business.

If this procedure requires a certified business eSpace, you can find:

  • all necessary information concerning certification in the explanatory information page itself; and
  • if applicable, a direct link in the 'Forms / Online services' section to request certification.
